Part 2: Initial Call to Approach or Tower

Timing of Initial Call

You should contact Approach or Tower in good time—normally at least 5 minutes before you expect to enter the control zone or need to descend into controlled airspace. This gives ATC time to plan your entry, sequence you with other traffic, and issue approach clearance or joining instructions.
If you call too late (less than 3 minutes away), ATC may not have time to brief you properly. If you call too early (15 minutes out), you may confuse the picture. Five to 10 minutes before your estimated time to overhead or the control zone boundary is ideal.

What to Say in Your Initial Call

Your initial call must establish communication and provide essential information so ATC can service you. The format is:
  1. Station name (address)
  2. Your callsign /strong>
  3. Aircraft type (if helpful for separation)
  4. Current position (e.g., overhead town, specific distance and direction)
  5. Altitude or flight level (what you are at now)
  6. Destination aerodrome
  7. Intentions (landing, circuit, requesting radar vectors, etc.)
  8. Any special info (e.g., first time at this field, request overhead join, request direct)
ATC will respond with either:
  • A clearance directly (if traffic permits)
  • A radar vector or holding instruction
  • A request for more information
Remember: you provide position, altitude, and intentions. ATC decides how you will join.
